Firm Administrator
Giro & Associates LLC is a veteran owned law firm seeking a Firm Administrator to oversee day-to-day operations, allowing attorneys to focus on client service and legal work. This non-attorney leadership role involves managing staff, finances, systems, and resources while working closely with partners. Office: 1060 Main St., Suite #303, River Edge, NJ 07661. Work schedule: 9:30 a.m. to 6:00 p.m. EST, Monday through Friday, with on-site presence during core hours except approved remote days.
Position Overview
The Firm Administrator handles overall business operations, including HR, finance, office management, and technology in a small-firm setting. The role demands versatility, initiative, and hands-on execution alongside strategic planning.
Key Responsibilities
Operations and Office Management
Manage daily office functions, workflows, calendaring, and administrative processes.
Handle supplies, equipment, and vendors (IT, phone, copier, software).
Refine procedures for file management, matter intake, conflict checks, and document organization.
Finance, Billing, and Reporting
Coordinate budgets, cash flow, trust accounting, payables, and receivables with partners and bookkeeper.
Oversee timekeeping, billing, and collections for timely invoices.
Generate operational and financial reports highlighting trends and efficiencies.
Human Resources and Staffing
Recruit, onboard, and train non-attorney staff; align with partners on needs.
Manage personnel files, benefits coordination, time-off, and performance reviews.
Foster a professional, client-focused culture.
Technology and Process Improvement
Coordinate practice management, billing, and document systems with vendors.
Document and optimize workflows (intake, billing, deadlines).
Evaluate tools for efficiency, communication, and security.
Compliance and Risk Management
Support confidentiality, records retention, and trust accounting compliance.
Manage insurance renewals and firm licenses.
Ensure policies are documented and followed.
Qualifications
Experience: 5+ years in law firm or professional services, with 2+ years in operations/administration; small firm experience preferred.
Skills: Leadership, financial basics, office software proficiency (Microsoft 365, practice management); organizational and communication strengths.
Education: MBA, Bachelor’s in business, management, or related preferred; experience may substitute.
Reporting and Compensation
Reports to partners; supervises non-attorney staff. Full-time, exempt.
